The 5 Purchasing Stages and 6 Cautions to Take When Purchasing Paper Party Sets



Where to use them: Parties, birthdays, weddings, festivals, etc…

Party Sets
  • Include: Paper cups, paper plates, paper straws, napkins, forks, knives, spoons,                              paper horns, tablecloths, banners or flags, invitation cards, eye masks, gift                        bags and more. (There are over 10 kinds of products to choose from, take                        them all, or only a select few, such as paper cups and paper plates—                                  whatever you need.

  • Material: Food grade paper (150gsm-350gsm) that is eco-friendly and recyclable.


Purchasing Process
    
     When choosing a small quantity: purchase the inventory in stock.

         1)       When you find the products that are right for you, but you only need a small                             quantity, talk to the sales representative at the company for your purchasing                             options.


      When choosing to use a custom logo or artwork:

                     1)       Locate a few factories and talk with them about all of the details of your order.
                   Usually, factories will provide photos of their products for you to review first. If                        necessary, the factory can also send you a selection of products for your reference,                    but this will cost you in freight fees. Sometimes customers will ask for samples of                      the products that are available, particularly when it is the first time they are                              working with a company. It is best to determine the best size for your needs and                      confirm the quality of the materials. For example, paper cups can be 7”, 8”, 9” and                    other sizes and differ between 150-320 gsm food grade paper.

                2)    Select one or more factories to order a sample from with your design. If you have                      it available, give each factory the digital files for your artwork or logo. This should                    be in an AI, CDR, EPS, or WMF format since they are all vector files that will                              detail the appropriate size. If you don’t already have a logo prepared, you can ask                    if the company can design one for you. Be aware though, that few companies can                      actually provide this service.
  
                3)    Check the sample. If there are no problems with your sample, ask the factory to                       begin manufacturing the mass order. If there are any issues, have a chat with                           the factory and indicate what needs to be corrected. Ask them to provide                                   pictures or files to confirm the design. When you give the okay, they can begin                           production. If there is a major problem with the sample, or your needs are very                       strict, order a sample from the factory again and again until you are completely                         satisfied. Confirm with the factory at the beginning, but you should only be                                 required to pay for the first sample. After this, the sample should be free, but you                     will likely be expected to cover the cost of freight.

                4)    When all the products are finished, they will be delivered to your country. You                           should factor in shipping times, and take care not to delay your order.

                     5)     When you receive your cargo: check the quality and quantity of your order. If                           there is a problem with the order, contact the factory immediately. They will                             attempt to resolve the issue and reduce your lost. Be cautious of factories that do                     not want to cooperate to resolve any problems. It is important to be careful when                     selecting a factory to work with.



Cautions:

             1)       Price: If you only need a small quantity, while the price of the products is very                       small, the shipping fee from China to your country may be very high.

             2)       Logo Price: Pay attention to how many colors are included in the logo price. You                   will be expected to pay an additional fee for each color added.

             3)       Delivery Time: If you are ordering custom products, you should pay very special                 attention to the delivery time. It is very normal to expect delays when shipping out                 of China.

             4)       Quality: While your sample may be good, when the factory manufactures mass                      products there can be some defective products when it is delivered to you. Some                      factories have higher rates of defective products than others. It is too expensive                        and time consuming to conduct quality control on each individual product. Confirm                  the factory’s policy on defective products.

              5)      Package: Be careful of poor packaging. We’ve seen this problem many times                            when we did exports many years ago. Sometimes the cargo would arrive from a                        customer’s company, but the packaging would be broken. I’ve heard that some                        factories have issues with their packaging quality.

              6)      Company Selection: I will write about how to pick the best company to work                        with in my next blog post.
